The new General Data Protection Regulation – otherwise known as GDPR – came into effect on Friday 25th May 2018, this privacy notice aims to give you information on how Drives and Automation Ltd collects and processes your personal data through the use of this website, including any data you may provide when you enquire about or purchase products or services from us, or contact us over the phone or by email.

The Personal Data We Collect About You

The Personal Data held by Drives and Automation Ltd typically includes:

  • Your first name, surname and occasionally your title (Mr/Ms/Miss/Mrs/Dr etc.)
  • Your company name (or employer’s name if you are not a sole trader)
  • Your company address (or employer’s address if you are not a sole trader)
  • Your email address – i.e. an email address which identifies you by name within your organisation
  • Your company telephone number (which might be a direct line or company mobile )
  • Your job title

The combination of some or all of these pieces of information are considered to be ‘personal data’ if they identify you as an individual.  All such data is held securely by Drives and Automation Ltd. and is only accessible by designated staff.  We do not share your information with third-parties other than where necessary to fulfil your order/enquiry or where such disclosure is required by law, e.g. we may need to produce VAT invoices for inspection by HMRC etc.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

Contact forms

If you use a contact form on our site we will collect the data from the form and use it to contact you and progress your inquiry. This may include passing your details on to third parties to enable the delivery of goods. We do not sell personal data to third parties for the purposes of marketing. Your data may be retained by us to enable future contact for reasons such as product recalls

Cookies

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

How We Use Your Personal Data

We store and use the personal data described on the basis of (1) ‘Legitimate Interests’ and (2) ‘Contract’.  We are confident we have either:

(1) a legitimate reason to use the information to contact you (to seek clarification or provide further information regarding your request for products and/or services) or

(2) a contractual need to use the information to contact you, for example to request payment of our invoices.

Under GDPR these two legal bases mean you have the right to request a copy of the personal data Drives and Automation holds about you (without charge), request corrections to errors in that data and request that we remove your personal information from our database.

If you have requested information from us or purchased products or services we may from time to time to send you marketing communications.  If we do, you can tell us to you want to stop receiving them at any time.

Sharing Your Personal Data

We’re serious about protecting your privacy and all Personal Data we collect is held securely by Drives and Automation Ltd. and is only accessible by designated staff.  We do not sell any of your data to any third party and will only share your personal data with companies who play an essential part in enabling us to provide our products and services to you, for example we may share your name and business address with suppliers so they can send any goods you have ordered to you. We do not allow these third-party suppliers to use your personal data for their own purposes.

We will also share your information with third-parties where such disclosure is required by law, e.g. we may need to produce VAT invoices for inspection by HMRC etc., or comply with requests from Law Enforcement.

If you purchase a product from our online store we may share your data with others in order to service your purchase in the course of our business. Your data may be shared with:

  • Paypal
  • Your Credit Card issuer
  • Our supplier in order to enable your order to be prepared for shipping
  • A courier to enable your purchase to be delivered.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

Your Legal Rights

You have lots of rights protecting your personal data, including the right to object to the processing of your personal data or to withdraw consent.  If we have sent you direct marketing messages we’ve tried to make it really easy to opt out by clicking on the unsubscribe link at the bottom of them.  If you have any concerns about our use of your personal data, or the personal data we hold about you, just get in touch by email, post or phone.

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Industry & regulatory disclosure requirements

In addition to the third parties described above, we have a duty to provide information to official Government agencies for the purposes of crime and tax investigation when requested to do so.
